This policy explains how Headshot Paintball handles personal information when you use our website, create an account, make a booking, join a match queue, contact us or otherwise use our services.
Information we may collect
Depending on how you use Headshot, we may collect your name, warrior/profile name, email address, phone number, gender, location, booking details, selected package, player count, booking date and time, account identifiers, match statistics, support enquiries and other information you voluntarily provide. Where an adult adds a managed minor player, we may record that minor player’s chosen Headshot name, the guardian relationship between the accounts, guardian-authority acknowledgement, and the minor player’s verified game record.
We may also process technical information reasonably required to operate and secure the website, such as IP address, browser/device information, session information, security logs and diagnostic data.
Public warrior identity
Your warrior name, rank and verified competitive statistics may appear on public Headshot features such as rankings, battle results or a shareable Battle Card. Joining Find Players requires sharing a general city/area and selected gender, and you may leave the directory. Your exact location, email and phone remain private. You can turn off your standalone public Battle Card from your dashboard. Email, phone number, booking details and support records are not included on the Battle Card.
Photos and video
Headshot may capture general arena photos or video as part of operating and documenting the experience. Identifiable promotional use is handled through a separate optional permission in the booking flow. When selected, that permission applies to the booking adult and to managed minor players specifically included in that booking; it does not allow one adult to grant promotional-image rights for unrelated adult participants.
If you contact us about future promotional use, we will handle the request under applicable law and the circumstances of the material. Content already lawfully printed, published or incorporated into completed material may not always be capable of being recalled retroactively.
Promotional email
If you choose to receive Headshot offers and promotions, we record that preference with your account so approved WordPress or email-automation tools can use the eligible email audience. You can turn promotional email off from your account; service, booking, security and verification messages are handled separately from promotional communication.
Payments
Online payments may be processed by an authorised third-party payment provider such as Razorpay. We do not intend to store your full card number, CVV, UPI PIN, banking password or other payment instrument credentials on Headshot systems. Payment providers may process transaction and payment information under their own terms and privacy practices.
Why we use information
We use information to create and maintain accounts, process bookings, manage schedules and match participation, communicate booking or service updates, provide support, prevent abuse and fraud, maintain security, comply with applicable legal obligations, improve our services and keep records reasonably necessary for business, accounting or dispute-resolution purposes.
Sharing
We may share information only where reasonably necessary with service providers that help us operate Headshot; where required by applicable law or lawful process; to protect safety or legal rights; or in connection with a legitimate business transfer. We do not sell personal data as a business model.
Retention and security
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected. We use reasonable technical and organisational safeguards, but no internet service can guarantee absolute security.
Children
A person under 18 must not independently provide consent where parental or lawful guardian consent is required by applicable law. Minor player identities are created and managed through an adult account, and the adult confirms parent/lawful-guardian status or appropriate authority when the minor player is added.
Your choices and requests
Subject to applicable law, you may request access, correction, deletion or other available action relating to your personal information, or withdraw consent where processing is based on consent.
Privacy and personal-data requests may be submitted through the Contact page using the Support topic or through the signed-in Support section.
Policy updates
We may update this policy as our services or applicable legal requirements change. The latest version published on this page will carry the updated date.
